Privacy Information for Learners

A shorter explanation of what happens to your writing and information when you use QuillSquare.

What QuillSquare does

QuillSquare is a website that uses computer tools, including artificial intelligence (AI), to read writing and make a feedback report. A parent, guardian or tutor manages the main account. If a tutor creates your login, the tutor decides when you can see a report.

The report is meant to help an adult and learner talk about writing. It is not an official exam mark, a diagnosis or a decision about you. AI can make mistakes, so a responsible adult should check the feedback before using it.

What we may know about you

You do not need to tell us your real name, school, address, exact birthday or where you live. Try not to put private details into your writing or photos unless the task truly needs them.

  • A nickname chosen for your profile and a random learner login.
  • Your writing, a photo or PDF of it, the task and text corrected after the computer reads handwriting.
  • Optional information about the type of writing, an exam goal, birth month and year, strengths or areas to practise.
  • A SEND choice only when the responsible adult chooses to use that feature.
  • The feedback reports and progress information made from completed evaluations.

What happens to your writing

QuillSquare checks the task and writing with an automated safety tool. If it is rejected, it does not continue to the evaluation. The tool may miss something or reject safe writing by mistake. No person at QuillSquare routinely reads every submission.

If you upload handwriting, a computer tool extracts text. You or the adult should correct only reading mistakes and keep the original spelling, punctuation and grammar. Another AI tool uses the writing, task and allowed learner context to make the report.

QuillSquare may use your completed reports inside the same account to show patterns or progress over time. It does not use your writing to train a QuillSquare AI model or show it to unrelated customers.

Who can see it

QuillSquare does not make learner profiles or writing public. A private guest-result link works like a key: anyone who receives it may be able to open that report, so do not post or forward it widely.

  • The parent or tutor who controls the account and people with whom that adult properly shares a report.
  • You, when the account journey makes the work or released report available to your learner login.
  • Cloud and AI companies that process only what they need to run QuillSquare.
  • QuillSquare Ltd when needed to fix a reported problem, keep the service secure, answer a rights request or follow the law.

How long we keep it

Writing and reports in a registered account normally stay available while the adult account is active. After 24 months with no account or evaluation activity, they enter the warning and deletion process. One-off guest writing, the report and result link are kept for 90 days after a successful evaluation, so the adult should save the report in time.

If the adult closes the account, or a valid deletion request applies, access is stopped and ordinary live learner information is removed within 28 days. A small amount of transaction or legal evidence may have to be kept for longer, but it should not include the writing or report unless a live dispute makes that necessary.

Your choices and rights

You can ask the adult who manages the account what QuillSquare holds about you. You can also ask QuillSquare to explain it, correct it, stop some uses or delete it where the law allows. You can say that you do not agree with a use based on legitimate interests.

Because QuillSquare does not ask for your legal name or school, we may need help from the authenticated account to find the right profile without revealing another learner’s information. Do not send your writing, password or private result link in an email.

If something worries you

QuillSquare is not an emergency, counselling or safeguarding service. It does not promise to notice danger in writing and does not contact a parent, tutor, police, Childline or another service for you. If something has happened or someone may be unsafe, tell a trusted adult. If someone is in immediate danger in the UK, you or an adult should call 999.

For a product problem or a safe piece of writing rejected by mistake, ask the adult to contact help@quillsquare.app without copying the writing into the email.
